Refund & Cancellation Policy

This policy applies to all subscription plans purchased through FileMinder (fileminder.co.uk).
No Refunds
All payments made to FileMinder are non-refundable. Once a subscription payment has been processed, we do not offer refunds, whether partial or in full, for any reason including but not limited to:
- Change of mind after purchase
- Failure to use the service during the billing period
- Dissatisfaction with features or functionality
- Duplicate purchases or accidental upgrades
- Business closure or change of circumstances
By subscribing to any FileMinder plan, you acknowledge and agree that all charges are final and non-refundable.
Cancellation
You may cancel your subscription at any time through your billing dashboard or the Stripe customer portal.
How Cancellation Works
- Cancellations take effect at the end of your current billing period. You will continue to have full access to your plan features until your billing period expires.
- No partial refunds or credits are issued for unused time remaining in a billing period.
- After cancellation, your account will revert to the free Watchlist plan.
- Your company data and deadline history will be retained for 30 days after cancellation, after which it may be permanently deleted.
How to Cancel
- Log in to your FileMinder account
- Navigate to Billing in the dashboard sidebar
- Click Manage billing to open the Stripe customer portal
- Select Cancel plan
Plan Changes
- Upgrades take effect immediately. You will be charged a prorated amount for the remainder of your billing period.
- Downgrades take effect at the end of your current billing period. You will retain your current plan features until then.
Failed Payments
If a payment fails, your subscription status will be marked as past due. We will attempt to collect payment again. If payment cannot be collected after multiple attempts, your subscription may be cancelled.
Free Trial
If a free trial is offered, you will not be charged until the trial period ends. You may cancel during the trial period to avoid being charged. Once the trial converts to a paid subscription, this no-refund policy applies.
Exceptions
We reserve the right to grant refunds or credits at our sole discretion in exceptional circumstances, such as:
- Confirmed billing errors caused by our system
- Service outages exceeding 72 continuous hours
Such exceptions do not create an obligation to grant refunds in any other case.
