Company UTR Number Explained: Where to Find It & How to Get One
By Ibrahem Almahawe
Key takeaways for Arab directors
- 1Your company UTR is a 10-digit HMRC identifier, separate from your Companies House number and any VAT number
- 2HMRC generates your company UTR automatically after incorporation and posts it to your registered office (request it online if not received after 15 working days)
- 3Required on every CT600 return, tax payment reference, and HMRC communication; unreferenced payments risk misallocation and interest
- 4Receiving a UTR is distinct from notifying HMRC of trading: notify HMRC within 3 months of starting business activity, or keep HMRC informed if dormant
- 5Personal UTRs (Self Assessment) and company UTRs (Corporation Tax) are separate 10-digit numbers that must never be mixed
Fileminder’s take, written for Arab UK company directors
A UTR (Unique Taxpayer Reference) is a 10-digit number that HMRC assigns to every tax entity in the UK. When your company is incorporated, Companies House notifies HMRC automatically, and HMRC creates your company tax record and issues a company UTR. It is entirely separate from your company number (issued by Companies House on incorporation) and from any VAT registration number. These reference numbers are distinct, issued by different bodies, used for different purposes, and commonly confused by directors new to UK compliance.
Where to find your company's UTR: HMRC posts your company UTR to your registered office address shortly after incorporation (typically within a few days). If you have not received it after 15 working days, you can request it online via GOV.UK. If you have misplaced the letter, your company UTR also appears on any notice to deliver a tax return, previous CT600 filings, in your HMRC online business tax account once added, and on official HMRC payment reminders. If Fileminder manages your compliance, we keep your UTR on file and apply it to every CT600 return and payment reference on your behalf.
When you need it: your UTR appears on every CT600 Corporation Tax return filed with HMRC, on every Corporation Tax payment (where your payment reference is your UTR followed by the specific accounting period suffix), on all HMRC tax enquiries, and when authorising an agent to act on your behalf. Without the correct UTR, HMRC cannot match payments or returns to your company tax record. Payments submitted without the exact reference remain unallocated, which HMRC treats as an unpaid liability, accruing late-payment interest even if funds left your bank.
Receiving your UTR vs registering for Corporation Tax: receiving your UTR is an automatic administrative step following incorporation, but it is distinct from notifying HMRC that your company is actively trading. If your new company is dormant, you do not need to register as active immediately. Once you commence business activity (such as buying, selling, employing staff, or entering commercial contracts), you must notify HMRC within three months of starting to trade. You also use your company UTR and registered office postcode to add Corporation Tax online services to your business tax account on GOV.UK. Because HMRC letters go to your official address, having a professionally managed registered office that scans statutory mail immediately is essential.
Personal UTR vs company UTR: if you file UK Self Assessment as an individual director, you have a personal UTR. It is completely separate from your company's Corporation Tax UTR. Both are 10-digit numbers formatted identically, which often causes confusion. Personal UTRs belong strictly to individuals for personal income tax; company UTRs belong strictly to the corporate entity. If you have both personal UK tax obligations and a UK company, you hold two separate UTRs and must never mix them on filings or payments.
